Who we are

Boxmoor Consulting Group Limited (BCGL) is the controller of the personal data described in this notice. We are a company registered in England and Wales, company number 16946863, with our registered office at 97 Horsecroft Road, Hemel Hempstead, England, HP1 1PX.

What this notice covers

This notice explains how we handle the business contact details of people who work for organisations we approach, or who approach us, in the course of our business. It covers our marketing and business development activity and our ordinary business correspondence.

We do not provide services to consumers and we do not knowingly collect personal data relating to anyone under 18.

The personal data we hold

For a business contact, we typically hold a name, job title, employer, business email address, business telephone number, and publicly available professional information such as a profile on a professional networking site. We also hold a record of our correspondence with that person.

We do not collect special category data, we do not carry out profiling, and we do not make automated decisions that produce legal or similarly significant effects.

Where we get it from

Where you have not given us your details directly, we obtain them from sources such as your employer’s website, professional networking sites, publicly available business directories, industry events and delegate lists, and referrals from people we know in common.

Why we use it, and our lawful basis

We use business contact details to introduce our services, and the services of vendors we represent, to organisations for which they may be relevant, and to carry on the resulting correspondence.

Our lawful basis is our legitimate interests under Article 6(1)(f) of the UK GDPR, namely our interest in developing our business and the interest of the organisations we contact in learning about services relevant to their operations. We have carried out and documented an assessment balancing those interests against the interests and rights of the individuals concerned, and we will provide a summary of it on request.

Where we correspond with you about a contract we have or are negotiating with your employer, we rely on our legitimate interests in managing that relationship.

Who we share it with

Where an organisation expresses interest in a product supplied by a vendor we represent, we pass the relevant contact details to that vendor so it can respond. For the DNS Watchdog product, that vendor is DNS Watchdog Ltd, a company registered in England and Wales, company number 17047835. DNS Watchdog Ltd is a separate and independent controller of the data it holds and handles it under its own privacy notice.

We also use service providers who process data on our behalf: Google, which provides our email, and Cloudflare, which hosts this website. We do not sell personal data and we do not share it for anyone else’s marketing.

Some of this processing takes place outside the United Kingdom. Where it does, it is covered by the safeguards our service providers put in place for international transfers.

How long we keep it

We keep business contact details for up to 24 months from our last meaningful contact with you, after which we delete them unless there is an ongoing business relationship or a legal reason to retain them.

If you ask us to stop contacting you, we keep the minimum information needed to make sure we do not contact you again. We hold that record indefinitely, because it is the only way to honour your request.

Your rights

You have the right to ask us for a copy of the personal data we hold about you, to have it corrected or erased, to restrict how we use it, and in some circumstances to receive it in a portable form.

You have an absolute right to object to direct marketing. If you tell us to stop, we will stop, and we do not need a reason. Write to privacy@boxmoor.online or reply to any message you receive from us.

Where our lawful basis is legitimate interests, you may also object to our processing on grounds relating to your particular situation.

Cookies

This website does not set cookies. We do not use analytics, advertising or tracking cookies, and we do not use this website to build a profile of anyone who visits it. Our hosting provider records standard server information, including IP addresses, for the security and reliability of the service.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first at privacy@boxmoor.online so that we can put it right.

You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection. Details are at ico.org.uk, or telephone 0303 123 1113.
